JOB SUMMARY

Provides administrative, logistical, and customer support to Human Resources and The Support Center Atrium and Conference Center.

EDUCATION

• High school diploma or equivalent

CERTIFICATION SUMMARY

• No professional certifications required

EXPERIENCE*

• Experience in supporting in an administrative capacity

PREFERRED QUALIFICATIONS*

• Post-secondary education
• 2 years of experience in an administrative role

KNOWLEDGE SKILLS & ABILITIES*

• Excellent grammar, vocabulary, and communication/speaking ability
• Superior customer service and problem-solving skills
• Strong administrative skills including typing 45 words per minute, Microsoft Outlook, and proficient in utilizing Microsoft Suite tools

JOB RESPONSIBILITIES*

1. Schedules/approves all bookable conference space in the Conference Center.
2. Communicates conference room request status clearly and in a timely fashion to internal and external customers.
3. Makes best effort to resolve room request conflicts and offer suggestions for alternate meeting locations/options.
4. Owns reservation request process and system..
5. Runs administrator reports and participates in efforts to improve Conference Center processes, space usage, and policies based on data.
6. Provides onsite support for internal and external facilitators and presenters.
7. Greets and directs Conference Center customers/visitors and answers questions.
8. Directs questions about catering and audio/video equipment to appropriate contacts.
9. Ensures Conference Center schedule, rooms, amenities, equipment, and supplies are operational and available, and troubleshoots audio/video issues when needed.
10. Manages all areas of the Atrium and Support I lobby, including organization and presentation.
11. Directs calls, visitors, and deliveries to the appropriate recipient.
12. Checks and signs off on all new hire paperwork delivered to Recruitment.
13. Creates badges for employees, contractors, and visitors (as backup for Security).

SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

Ability to lift up to 15 lbs independently not to exceed 50 lbs without assistance

Hearing/Speaking - Effective communication with employees, supervisors/managers and staff. Effective communications with patients and visitors, as required.
