Quality Control Associate - Health Information Services

The Health Information Services Quality Control Associate provides document imaging scanning and indexing to ensure the timely and accurate access of paper-based documentation. Assists in maintaining the data integrity of the electronic medical record by participating in continuous quality improvement activities and the identification of misfiled, duplicate, and illegible documentation.

  • High school diploma or equivalent
  • 1 year of experience in health information management
  • Experience in electronic medical record systems in a hospital setting
  • Associate's degree in Health Information Management or related field
  • Proven data entry skills, computer skills, and proficient in Microsoft Windows operating systems
  • Keyboarding/typing skills of at least 35 words per minute with minimal errors
  • Ability to maintain a quality rate of at least 97% in reference to scanned documents
  • Proficient on computers and the ability to learn new computer skills
  • Able to seek clarification for instructions provided, data entry skills, and attention for detail necessary to manage high-volume workload
  • Ability to assess workloads, prioritization, and successfully meet customer needs
  1. Accurately preps, scans, and indexes documents for Children’s Healthcare of Atlanta document imaging system.
  2. Locates and retrieves records from clinical areas each day and reconciles against census reports to validate an accounting of all records.
  3. Brings any records identified as missing immediately to the attention of the supervisor.
  4. Validates the accuracy of the complete medical record during the scanning and indexing process by reconciling the receipt of all chart documentation.
  5. Immediately follows up on any documents identified as missing from the record at the time of receipt.
  6. Coordinates and collects daily statistical data related to document imaging quality and quantity metrics.
  7. Monitors, investigates, and corrects any documents, scanned or cold-fed, that are identified as misfiled, misfed, duplicate, or illegible.
  8. Proactively takes action to re-scan or re-index and communicates to involved staff or effected departments.
  9. Identifies outdated, unapproved, or illegible forms that are in need of revision or approval and forwards them to the Forms Coordinator or Health Information Systems Supervisor.

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.


Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
