Inventory Specialist

JOB SUMMARY

The Inventory Specialist provides critical support in the control, coordination, and replenishment of surgical supplies and inventories. Responsibilities include processing inventory stocking requests, pick lists, shipments, adjustments, and replenishing inventory to support the 5 Rights of Supply Chain (right product, right place, right time, right quantities, and right price).  Proactively supports efforts that ensure delivery of safe patient care and services and promotes a safe environment at Children's Healthcare of Atlanta.

EDUCATION

High school diploma or equivalent

CERTIFICATION SUMMARY

No professional certifications required

EXPERIENCE*

  • One year of experience in inventory control, materials management, or purchasing in a healthcare setting
  • One year of experience in inventory control computer system and data entry

PREFERRED QUALIFICATIONS*

  • Proficient in Microsoft Word and/or Excel
  • Experience with Materials Management Information System 
  • One year experience in operating room setting preferred (Surgical Services only)

  • Excellent communication, organizational, and interpersonal skills
  • Must be able to function effectively under stressful conditions

JOB RESPONSIBILITIES*

  1. Participates in the Inventory Replenishment Process daily to maintain appropriate levels of supplies while minimizing outages and overstocks using available tools to complete activities
    • Reviews replenishment requisition and completes adjustment as needed.
    • Create/Cancel/Close Inventory Stock Requests & Quick Issue.
    • Create/Cancel/Edit Inventory Count Sheets & Ad Hoc Counts.
    • Create/Cancel/Edit Par Counts.
    • Create Returns & Adjust Inventory.
    • Utilize handheld mobile device for Picking/Counting Inventory.
    • Replenish Inventory including requisitions and put away.  
    • Coordinates delivery to end users upon receipt.  
    • View Inventory movement-related reports.
    • Transfers inventory urgently between locations as needed.
    • Receives in-transit items and issues items in and out to match stock on hand.
    • Performs location quality checks and ensures the supply shelves are clean, orderly, and properly organized as well as identifies and sequesters damaged or expired products.
  1. Monitors inventory reports to drive action with requisitions to prevent stock outs:
    • Participates in daily shelf walks to identify potential data discrepancies 
    • Offer solutions and takes needed action to resolve discrepancies 
    • Labels bins with backorder and substitution information
    • Reports backorders and stock outs to leadership and clinical staff, as assigned
  2. Assists with continual preparation for annual inventory by taking actions to reduce variances and waste: 
    • Completes assigned expiration date checks in a timely fashion.   
    • Maintains accurate shelf labeling.
    • Prepares assigned areas for scheduled cycle counts. 
    • Completes assigned cycle counts.  
    • Participates in the Annual Physical Inventory Audit.
  3. Assists with product recalls and managing the disposition of defective disposable supplies.
  4. Complies with all applicable regulations, standards, and recommendations, and follows hospital and departmental safety instructions, policies, and procedures.
  5. Attends of staff meetings/communication and job-related educational opportunities.
  6. Completes other duties as assigned.  

SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

 

Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
