JOB SUMMARY

Children's Healthcare of Atlanta is hiring a Program Management Team Lead to join our permanent team! The Program Management Team Lead provide expert project management, manage assigned program(s), and leads project managers working on projects within program(s). Mentor team members on project management and department methodologies, processes and tools.. Serves as a point of escalation for support and expert resource needs. Takes a lead role in working with management to research and propose implementation strategies and goals.

EDUCATION

  • College degree or equivalent experience

CERTIFICATION SUMMARY

  • Project Management Professional (PMP) certification, equivalent professional certification, or Master’s degree in Project Management

EXPERIENCE*

  • Minimum of seven years in project or program management experience in a health care or business environment
  • One year employment at Children’s in a project management capacity
  • Mastery of generally known project management software (e.g. – Microsoft Project), commercially available healthcare or business software packages (e.g. – Microsoft Office Suite) is required

  • Must demonstrate ability to lead projects from inception to completion with minimal management supervision and to assist other team members in learning these skills
  • Must be able to demonstrate organizational, analytical, and time management skills and display the following aptitudes: communication, problem solving, and conflict resolution
  • Must demonstrate excellent verbal and writing skills for executive communications, proposals, and project reporting
  • Must be able to function in a dynamic environment subject to impromptu changes in schedules and priorities
  • Must have the ability to develop and maintain good working relationships and to interact positively and productively with teams across organizational lines, including administrative and executive staff

JOB RESPONSIBILITIES*

  1. PMO Methodology and Standards
    • Expertly and independently apply established standards, methodology and processes to all project activities.
    • Proactively create and manage at a role model level all aspects of a project, including but not limited to:  project deliverables, resources, budgets, schedules, scope, change management, and stakeholder management and vendor management.
  2. Program Management
    • Effectively manage program(s), to ensure projects are moving forward to meet the needs of leadership.
    • Handle multi-project interactions, conflicts, dependences, and related decisions while considering project priorities.
    • Assist with program governance process and creation of timely, professional reporting.
    • Anticipate needs and escalate issues related to your program proactively; working collaboratively with team members and leadership to address.
  3. Achieve Business Objectives/Goals
    • Plan, direct, drive and coordinate activities of your program and projects, ensuring goals and objectives are accomplished
    • Understand the business need for each project.
    • Identify requirements, stakeholders, dependencies, etc. Modify plans per changing priorities, policies and resources for continued alignment to business objectives.
  4. Workload
    • Oversee multiple high profile, complex, multi-team projects.
    • Ensure deliverables from project team members are completed appropriately.
    • Expertly create and maintain detailed schedules using prescribed PM software.
    • Maintain all project info within prescribed PPM tools and project site on a timely basis.
    • Escalate issues and risks in a timely manner following appropriate escalation paths.
  5. Management/Stakeholder Communication
    • Prepare reports summarizing resource utilization and project performance.
    • Proactively provide Stakeholders with clear, concise, professional, verbal/written communications.
    • Independently and proactively prepare executive-level, polished presentations, decision papers, and other documentation.
    • Provide exemplary polished, professional, and accurate status reports.
  6. Team Communication
    • Provide clear, appropriate verbal/written communications.
    • Facilitate meetings in accordance with established meeting norms.
    • Facilitate communication between technical SMEs and business owners, translating into laymen’s terms.
  7. Leadership
    • Take a lead role in process improvement initiatives related to project management protocols, procedures, and guidelines.
    • Provide meaningful performance feedback on project team members.
    • Develop relationships and collaborate with all levels of stakeholders across departments with differing needs, to instill confidence and facilitate transformational change.
    • Demonstrate mastery of and coach project managers on the aspects of the profession such as leadership, methodology, tools and people skills.
    • Assist manager with training, coaching, mentoring, and onboarding/orientation of team members.
    • Participate in new hire interviews and selection process.
  8. Education/Compliance
    • Participate in and contribute to team/department meetings and trainings.
    • Use CHOA competencies and assigned goals to guide and model conformance to job expectations.
    • Maintain professional certifications - If they do not require PDUs, obtain a minimum of 20 PDUs annually.
    • Proactively comply with Children’s and IS&T policies.

SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

 

Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
