JOB SUMMARY

The Health Information Services Supervisor will supervise employees performing the operations of the Health Information Services department for the assigned campus and/or functional processes, and provide cross-functional support coverage as needed due to staffing shortages or peak volumes. This individual will promote a steady workflow and accomplishment of department objectives, serve as a point of contact for department customers, and positively impact employee relations. To proactively support the efforts that ensure delivery of safe patient care and services and to promote a safe environment at Children's Healthcare of Atlanta. Advocates for HIM user needs and coordinates support requests within Information Systems & Technology. Acts as liaison between Information Systems & Technology and patient care departments, vendors, and other technical experts.

EDUCATION
  • Associate or bachelor's degree in Health Information Management or equivalent
EXPERIENCE*
  • Three years' healthcare or medical record experience
  • Demonstrated problem solving and critical thinking skills to find solutions to difficult problems, balance multiple tasks, and pay close attention to detail
  • Demonstrated knowledge of continuous improvement functions, including the ability to facilitate quality improvement and change initiatives
  • Demonstrated knowledge of computers and technology to automate work flow
PREFERRED QUALIFICATIONS*
  • Registered Health Information Technologist (RHIT) or Registered Health Information Administrator (RHIA)
  • Two years operational, clinical or supervisory experience
  • Training experience

JOB RESPONSIBILITIES*
  1. Supervises assigned staff members, including counseling and coaching, and administers performance appraisals for employees.
  2. Coordinates department training activities, including new systems, procedures, and employee orientation.  Coordinates the orientation, training, and coaching of new staff, including the administration of tests for staff competency.  Participates in projects, meetings, and initiatives on behalf of HIS functions.
  3. Assesses HIS operations, and adjusts staffing to ensure goals are met appropriately & timely. Communicates updates, decisions, issues, and possible solutions to management team.  Implements solutions with the designated department employees. Revises work assignments as necessary and prioritizes work appropriately.
  4. Is cross-trained in department operational functions, coordinating back-up to support operations, and completing tasks when needed. This may include maintaining knowledge of Epic functionality as it relates to all implemented & future implemented applications specific to the team supervised.
  5. Supports performing team member duties during high workload and absenteeism, and ensures or provides weekend, evening, and night on-call coverage as needed to support assigned operations.
  6. Reviews current productivity standards, coaching and developing staff to achieve standards.  Monitors results & reports inadequacies of scheduled and random chart audits. Reports any inconsistencies (which may include documentation inconsistencies) with training workflow to the appropriate teams, staff, and management for correction.
  7. Takes the lead, monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. 
  8. Identifies potential risk areas & opportunities for streamlining of tasks within area of responsibility and supports the problem resolution process.  This include monitoring the MPI & Chart Corrections and addressing any issues that may arise with these tasks, by working closely with the IS& T teams or the system vendors.
  9. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
  10. Participates in the evaluation of department processes, making recommendations, implementing, and updating policies and procedures as needed.
  11. Partners with external vendors and consultants to ensure quality services.  Participates in the forms approval process by inspecting forms & ensuring adherence to Children’s Medical Records standards and communicating to the appropriate staff.
  12. Operates, maintains, and troubleshoots all equipment in the department, providing instruction to staff as needed.  Reports any equipment failures to Information Systems and Technology (IS&T) and to HIS Systems Analyst, HIS System Manager, and/or appropriate manager(s), and monitors correction. 
  13. Fosters a positive attitude and good morale throughout the department and with customers, supporting the mission, vision, and values of Children’s.
  14. Performs other duties and responsibilities as required.
SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

 

Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
