JOB SUMMARY

Provides project management and day-to-day operational support to the Occupancy and Space Management (O&SM) team for all Furniture, Fixtures and Equipment (FF&E) work orders and Move, Add, Change (MAC) processes. Works with internal customers and contractors/vendors to deliver space and furniture solutions across the Children’s portfolio. A strong customer service focus is required.

EDUCATION

  • Bachelor’s degree in Architecture, Construction, Interior Design, Project Management, or related field; or equivalent years of experience in lieu of degree

EXPERIENCE*

  • 3 years of experience in design and/or construction project management

PREFERRED QUALIFICATIONS*

  • Experience in the healthcare design and construction industry
  • Knowledge of building codes, safety codes, and Occupational Safety and Health Administration/Joint Commission regulations

KNOWLEDGE SKILLS & ABILITIES*

  • Demonstrated leadership skills in facilitating and leading cross-functional teams
  • Advanced knowledge of various system furniture and the MAC process

JOB RESPONSIBILITIES*

  1. Serves as client single-point-of-contact for day-to-day moves, adds, and changes, and project execution related to move management. Receives all requests for user moves and oversees scheduling, execution and vendor management.
  2. Works with FF&E vendors to obtain quotes and generates RFQs required for completion of MAC and simple projects.
  3. Manages progress of projects, implements project action plans, and completes all assigned projects within the specified time frames.
  4. Assists managers in generation of budgets and monitoring of cost for projects, including creating purchase orders, receiving product, processing invoices and possibly developing annual budgets for hospitals, administrative, and neighborhood-specific FF&E projects.
  5. Provides superior customer service and customer support for day-to-day activities and questions as well as project support for large moves.
  6. Supports the maintenance of a central database housing property floor plans, space configurations, furniture layouts, etc.
  7. Manages FF&E work orders/requests received through the work order portal system.
  8. Issues work orders for approved projects to FF&E vendors, supervises furniture, IT, and related equipment moves, and receives and verifies invoices for payment.
  9. Assists in the management of the FF&E storage/warehousing program.
  10. Coordinates and attends move-related meetings before, during, and post project completion.
  11. Ensures vendor compliance with building standards and policies, maintains as-built files and other documentation, and maintains information in database system including furniture and move documentation.
  12. Contributes to the effective, accurate, organized, and timely access to information and communications throughout the project, including distribution of contact lists, agenda development, and meeting minutes.
  13. Produces regular reports, and administers customer satisfaction surveys to internal customers to track departmental key performance indicators.

SYSTEM RESPONSIBILITIES*

Safety: Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.

 

Compliance: Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process. Maintains records of compliance activities and reports compliance activities to the Compliance Office.
